The back-end database contains a number of reference tables, which can be modified and updated very easily. Reference tables include the following: Category, Subcategory, Variable, Source, Country, Region, Locality, Location and Point.
To update an one of these tables:
1. Open the back-end database file
C:\Program Files\CRIS\<XXXX>\CRIS_<XXXX>.mdb
2. Select the table and make any changes required.
Before data can be imported into a back-end database, each Location and Variable referred to in the import spreadsheet (according to their abbreviation) must exist already in the Location and Variable reference tables. Also, a record for the Source of the import spreadsheet data must exist in the Source table.
To add a new Location to the back-end database:
Open the Country table and check if the Country for the new location exists already. If not, enter a new record for the Country.
Open the Region table and check if the Region for the new location exists already. If not, enter a new record for the Region.
Open the Locality table and check if the Locality for the new location exists already. If not, enter a new record for the Locality.
Open the Location table and enter a new record for the Location. Be sure to use the same Abbreviation for the Location as is used in the import spreadsheet.
If the Location is a point, open the Point table and enter a new record for the Point associated with the new location.
To add a new Variable to the back-end database:
Open the Category table and check if the Category for the new variable exists already. If not, enter a new record for the Category.
Open the Subcategory table and check if the Subcategory for the new variable exists already. If not, enter a new record for the Subcategory.
Open the Variable table and enter a new record for the Variable. Be sure to use the same Abbreviation for the Variable as is used in the import spreadsheet.
To add a new Source to the back-end database:
Open the Source table and check if the Source for the new table exists already. If not, enter a new record for the Source. Record the number of the relevant source for the import spreadsheet.
