New measurements and readings can be imported into the database from an Excel spreadsheet.
To prepare a spreadsheet of data for importing:
1. Reformat the Excel spreadsheet so that:
a) First column is titled Location.
b) Second column is titled Start Date
c) Third column is titled End Date
d) Fourth and all subsequent columns are titled by a valid value for the field Variable Abbr from the table Variable in the database.
e) One row for column titles, all other rows contain data, no other header rows.
f) The Location column should only contain valid values from the field Location Abbr from the table Location in the database.
2. Change the dates in the columns for Start Date and End Date so that they are in full date format (day, month and year), not just year or year and month.
3. Ensure that all the data is on the first worksheet, and that all subsequent worksheets have been deleted (ie the spreadsheet has only one worksheet)
4. Give the single remaining worksheet a unique name (other than “Sheet1”)
5. It is very important to check for and remove and named ranges. To check for and delete named ranges, select the menu choice Insert | Name | Define in Excel.
To import a spreadsheet:
1. Open the front-end database file C:\Program Files\CRIS\CRIS.mdb
2. From the CRIS main menu, load the Database you into which you wish to import data
3. From the View Table menu, open the Source table and note the Source number associated with the dataset you are about to import. If it is not already in the table, you can add a new source to the table at this time (using the instructions in the section Updating Reference Tables).
4. Go to the Forms tab on the Database window
5. Double click on the form Data Import form Excel
6. Enter the full path of the spreadsheet (e.g. C:\My Documents\Import Data.xls) and the number for the Source
7. Click Import Workbook
8. Once the import is complete, click on the Tables tab of the Database window and delete the linked table with the name <worksheet>In corresponding to the worksheet that you imported.
9. Close the file C:\Program Files\CRIS.mdb – the changes will be made automatically in the back-end database you loaded in Step 2.
